Minutes of the meeting held 17th Jan 2009 1.30pm start

1) GH welcomes and apologies.

2) GH introduces Steve and Mary Lashley, residents of Sovereign harbour. Steve is the leader of the new digital camera club. The camera clubs opening day was very successful with very positive feedback from all who attended. Steve & Mary have forwarded a members list for the camera club to the KCA. The camera club members have been invited to the Mayor’s parlour on the 22 Jan at 3pm for afternoon tea when the Mayor will judge the photo competition and present prizes. Steve, Mary and (Sandie not present) have offered to become co-opt members of the KCA and were voted in by all KCA Members present and eligible to vote.

3) KD updates on Xmas fayre profits which were just over £230.00 the figure was a little disappointing but the weather was very bad on the day. Fortunately, the grant of £500 from Raglan covered the costs of the event. On the whole the event was enjoyed by all who attended.

4) KD updates re the CAB coffee morning idea. Local CAB contacted KD last week stating they will let us know if they can provide a volunteer within the next two weeks. KD to chase if not heard by Monday. All agree the coffee morning once a month with CAB and book club is a good idea and worth trying.

5)  Easter Fayre: We agreed a date of the 5/4/09 which is a Sunday as all agreed that we should try a Sunday for a change in the hope that more residents would be free to attend. SINCE THE MEETING IT HAS BEEN DISCOVERED THAT MANY MEMBERS CANNOT DO THE 5/4/08 SO THE DATE IS NOW TO BE 12/4/08, EASTER SUNDAY. KD and DB to invite stallholders and advertise the event and stalls available. Funding to be obtained from Grassroots to cover children’s entertainer & face painter plus Easter Eggs for under tens. KD to contact the children’s center to see if they can do a craft table. DB to incorporate Easter bonnet and basket making in junior club activities so we can have an Easter bonnet parade. Stalls: raffle, cake stall (SL to ask a camera club member if they can do this) craft table, lucky dip, tin can alley, plus pick a lolly, PYCR. OTHER IDEAS WELCOME! We also discussed the possibility of obtaining a chocolate fountain to be used at all our events, members voted in favor, KD to look into prices and funding. DB suggests leaflet drops to promote the event to local schools and advertise in primary times.

6) Update on grassroots funding. KD advises that a funding application has been sent to grassroots for the BBQ, three video cameras and £200 worth of arts and crafts materials for the youth club(s) There is a ten day turnaround so we should hear very soon if successful. The members vote and agree that the next pot of £900 should be applied for (a) insurance (b) Easter (c) chocolate fountain

The following pot of £900 should but a new pool table. As there is a ten day turn around we should receive all of these fairly quickly. KCA members agree to purchase the camera club a card reader, SL to purchase and pass receipt to KD or MS for refund.

7) Any other business: Hall repairs, KD updates on the outstanding hall repairs, the patio doors, extinguisher, fire alarm panel and gas box. Southern state there is no money for repairs until Apr 09. A lengthy discussion ensues about the dangers to us of operating the clubs without the fire panel working and without the fire extinguisher. MS provides contact details of the fire extinguisher company, DB contacts and arranges for it to be replaced as we cannot wait any longer for Southern to act on this. Southern were first informed about the fire alarm panel on 24/12/08 and again on 5/1/09 and 14/1/09 The KCA members decide that we would be very unwise to continue running clubs while the fire alarm panel is broken. KD to chase Southern on Monday and insist upon immediate repair to the panel and replacement ASAP. To copy in Mark Viggars and if necessary call in local fire safety officer. Kitchen Improvements: We were going to use Raglan’s money for this but used in on the Xmas Fayre instead. Therefore we decide to apply to grassroots later in the year for the improvements which are: cooker hood/extractor, nets on windows and door, smooth ceiling and double light. Aprons to be purchased asap by PH.

TG explains that he is unable to continue getting the tuck shop supplies as he is very busy with work and family commitments. PH offers to take over this role which all members agree to.

KCA discuss the need for electrical testing once yearly of our electrical goods. MS says Southern Horizon does their own and we could ask them to include ours, KD to request this. If not DB knows an electrician who can do this for us.

Members agree for KD to get 20 USB sticks for I.T. suite and camera club from Staples, PH can get 20% discount from Staples.
